Notice of Meeting


Let everyone involved know that you are requesting a meeting for a particular reason, and give them the date, time and venue for this. This is known as a Notice of Meeting and can take the form of a memo, letter, poster and/or email communication.

Example Notice of Meeting in Memo format:
Notice of Meetings

To:  All Board Members of Virginia Corporation  
From: The Chairperson
Subject: Group Project Updates
Date: 1st March, 2013

The group project is about to be launched. A meeting will be held as detailed below:

    Date    :     6th March, 2013
     Time    :    8.30am- 9.30am
     Venue :     VIP's Meeting Room

Please circulate all Concept Study Reports prior to the meeting and come prepared both to discuss these and to volunteer for individual tasks.

Answer:
A notice of meeting is an official requirement of many organisations. It is a public notice that an important meeting is happening soon, and must be circulated well before the set date of the meeting (usually 5 to 7 days).

Minutes of Meeting

The record of a meeting is called the minutes.

There is no specific format that you must follow in order for you to write and complete minutes of meeting. However, it is imperative for you to have all the necessary information and details and in order.

Always remember the purpose of the meeting, which is to keep an accurate record of a company or a group’s meeting, as well as the key decisions taken, and people involved.

Therefore, taking good meeting minutes can be crucial and having the right skill will make the employer loves you more (even though this can mean you will be assigned the record keeper every time meeting is held!).

Language of Meetings : Agreeing vs Disagreeing

Expressing opinions in meetings, discussions, problem solving and other situations are important because it encourages flourishing of ideas. Therefore, learning to express an opinion, to agree or disagree, in a positive and inoffensive manner is an important social skill and most importantly in interpersonal skill.
 
Here are some useful expression to help you dealing with differences & conflict in meeting or discussion:
 
Expressing a General Opinion

In my opinion . . .
I think . . .
I prefer . . .

Expressing an Opinion about Taking Action

We could . . .     Maybe we could . . . (softer)
Could we . . .?  (more polite)
I think we should . . .
I don't think we should . . .
Why don't we . . . (more polite if inflected as a question)
How about . . .

Expressing Agreement

Great idea!
I agree.
That's a good idea.
I think so too.
I would go along with that. (positive, but slightly neutral)
I might go along with that. (even more neutral, but slightly positive)
Maybe you are right. (positive, but slightly neutral)

Expressing Disagreement

I'm not sure about that (negative, but slightly neutral)
I don't know, but it seems that . . . (gentle)
I don't think I agree.
I don't agree. (stronger)
I'm afraid I disagree.
I'm sorry, but I don't agree.
I'm not sure that's the best idea.
Yes, but . . .


So go ahead and try this. You might going to change something today!
